Job Description

As a Document Management Support you will provide document management services to the most interesting agency in Aerospace. It is your walk in service desk that will serve a variety of departments within the agency.

This is an independent position in which you will be able to create your own library services. Initially you start out with data entry, but soon you are able to transform this documentation management system into a walk in service desk, where you attend all interested parties to obtain the information they need. Your department has a large, but constant flow of documents that need to be manually inserted into the Documentation Management System. A future responsibility will also be to support the document review process of projects.


You will regularly have to interface (apart from the walk-in service) with other projects, Configuration Engineers and with other (space) agencies and Industrial Contractors.

Requirements:
Tasks
• Coordinate through the Head of Programme Services the daily activities of the Documentation Management Service.
• Establish and manage data entry target levels.
• Establish and run a Customer Focused Documentation Management Service Centre that supports a walk-in environment.
• Systematic input of relevant information to index cards within database DMS. Basic data entry is the core business.
• Take stock of and establish/execute a plan to eliminate the significant backlog.
• Maintain a small document library consisting of a set of documents of relevance to Human Spaceflight.
• Provide reproduction services.
• Support the document registration, distribution and archiving.
• Regularly review the status of documents in the different project/department archives and where appropriate register this information in the DMS database.
• Provide support to project reviews.
• Support users for retrieving documents: o from the Documentation Management System o from paper archives o from other Electronic Documentation Management System (EDMS) o from other sources such as; scanned documents on CD-ROM or via Internet
• Provide paper copies of electronic documents on request.
• Create electronic versions of documents.
• Manage original files.
• Assist in the refinement of the document management processes and tools in Human Spaceflight and its future improvements.


Responsibilities:
Profile
• Secondary Education.
• 5 years experience working in a documentation management or library service.
• A sound and proven experience in documentation management processes and tools.
• A sound and proven experience in working in a documentation management or library service. • A sound and proven leadership experience in providing a customer oriented service.
• Experienced as a team leader.
• A demonstrated customer and service oriented personality.
• A good knowledge of the English language.
• Knowledge of supporting a project oriented environment is an asset For the position of Document Management Support
